How to Verify an Indian Agricultural Supplier

A practical checklist for verifying Indian coffee, spice and agricultural suppliers before samples, contracts, deposits and bulk shipments.

Agricultural sourcing landscape in India

A polished website and a low price do not prove that a supplier can deliver the promised product. Verification should connect the company’s legal identity, export capability, product evidence, bank details and shipment documents into one consistent record.

Verify the legal business first

Request the exact registered company name, address, tax details and Importer Exporter Code. Compare them with the quotation, invoice, bank beneficiary and email domain. For regulated products, check the relevant Coffee Board or Spices Board registration instead of trusting a screenshot.

Verify the product and operating capacity

Ask for a representative sample, written specification, recent test evidence and clear packing details. A trader may legitimately use partner warehouses or processors, but that relationship should be explained. Video calls, batch labels and third-party inspections help verify the actual goods without pretending that one factory photo proves everything.

Control payment and shipment risk

Do not accept a last-minute change of bank account through email alone. Confirm changes through a known phone number and use a contract that names the product, tolerance, Incoterm®, destination, inspection method and claim procedure. Start with a controlled order before scaling volume.

Buyer checklist

  • Match company, invoice and bank beneficiary names
  • Verify export registrations on official portals
  • Approve a representative sample and written specification
  • Use independent inspection when the exposure justifies it

Frequently asked questions

Is an IEC enough to prove a supplier is reliable?

No. It confirms an import-export identity, not product quality, capacity or commercial honesty. Combine it with product and transaction checks.

Should I pay a new supplier in full before shipment?

That depends on value, leverage and payment structure. For a new relationship, reduce unsecured exposure and document every milestone.
